Create running captions for figures and tables

Learn how to create running captions in Adobe InDesign to number figures and tables consistently using defined lists and paragraph styles.

Use running captions to number figures, tables, and similar items consecutively throughout a document. Each caption updates automatically as items are added, such as Figure 1, Figure 2, and so on. Define a list and include it in a paragraph style to maintain consistent numbering. Add descriptive words like Figure or Table directly into the numbering format when needed.

Note

InDesign numbers the items in the order they’re added to the page. To change the order, cut and paste items one by one in the sequence you want.

Go to Window > Styles > Paragraph Styles.

Select the panel menu icon, then select New Paragraph Style.

Enter a name for the style, then select Bullets and Numbering in the left panel.

Select Numbers from the List Type menu.

Select a defined list from the List menu or select New List and define one.

Set the numbering format in the Numbering Style section using the Format drop-down menu. For example, select 1, 2, 3, 4... for Figure 1, Figure 2, or A, B, C, D... for Figure A, Figure B.

Enter descriptive text, spacing, and punctuation in the Number field along with numbering metacharacters. For example, enter Figure ^#.^t to add the word Figure, followed by a sequential number, a period, and a tab.

Select the arrow icon next to the Number field, then select Insert Number Placeholder > Chapter Number to insert a chapter number in the caption.

Select OK to save the paragraph style, then apply it to figure captions or table titles. InDesign numbers all styled captions sequentially across the document.

Optionally, use the Table of Contents feature to automatically generate a list of figures or tables.
