Set up assignment packages for InCopy workflows

Learn how to use assignments in Adobe InDesign to organize and share content with InCopy users.

Assignment packages let InDesign and InCopy users collaborate without a shared server. InDesign users create packages containing grouped content, send them to InCopy users for editing, and receive updated packages in return. InCopy must be installed to open and edit the packages.

InDesign manages shared content using assignment files that group related items or by exporting individual InCopy files. Assignments are the primary method because they organize related content and provide layout context.

Create and distribute assignment packages

In the Assignments panel, select the assignment you want to package.

From the Assignments panel menu , select Package for InCopy. Only checked-in content can be packaged.

Select a location to save the ICAP package file and then select Save.

Distribute the ICAP file to the assigned InCopy user via email or file transfer.

Note
  • You can cancel an assignment package by selecting it and selecting Cancel Package from the Assignments panel menu. Select OK to confirm.
  • Packaged content is checked out to the InCopy user and cannot be edited in InDesign until returned.

Open and edit returned packages

The managed workflow uses file locking to prevent overwriting. Only one user can edit checked-out content at a time.

Open the returned package (IDAP file) by selecting File > Open in InDesign.

Review the updated content in your document. Changes appear immediately in the layout.

If you need to make changes, select the assignment in the Assignments panel and select Check Out from the panel menu.

After completing your edits, select Check In from the panel menu. Content status appears in the Assignments panel and as frame icons when frame edges are visible (View > Extras > Show Frame Edges).
