Create and edit conditional text

Learn how to create, use, and manage conditional text in Adobe InDesign to show, hide, or manage multiple versions of content.

Create conditions for your document

Select Window > Type & Tables > Conditional Text.

From the Conditional Text panel menu, select New Condition.

Type a name for the condition.

Set the Indicator method, appearance, and color to define how the condition is displayed in the document.

Select OK.

Conditions are saved in the current document. If no document is open, they’re added to all new documents. Indicators (like wavy underlines) appear by default but don’t print or export. Use the Indicators menu in the Conditional Text panel to show, hide, or include them when reviewing output.

Apply conditions to text ranges

Open the document that contains the text, then select the text.

Select Window > Type & Tables > Conditional Text.

Select a condition to apply it.

Hold Alt (Windows) or Option (macOS) while selecting a condition to apply it and remove others.

Select the check mark to remove a condition, or select [Unconditional] to remove all.

Apply conditions faster using Quick Apply (Ctrl + Enter (Windows) or Cmd + Enter (macOS)).

The selected text shows the applied conditions. Indicators mark conditional text by default. In the Conditional Text panel, a solid check mark indicates the condition is applied to all selected text, while a dim check mark indicates it’s applied to part of the selection.

Edit a condition

Select Window > Type & Tables > Conditional Text.

Double-click the condition in the Conditional Text panel.

Update the name or change the indicator style, color, or method.

Select OK. The condition updates, and its indicators reflect the changes in the document.

Delete conditions

Select Window > Type & Tables > Conditional Text.

Select a condition in the Conditional Text panel. Hold Shift to select adjacent conditions or hold Ctrl (Windows) or Cmd (macOS) to select non-adjacent conditions.

Select the Delete Condition icon.

Specify a condition to replace the deleted condition.

Select OK. The deleted condition is removed, and the selected replacement condition is applied to all affected text.

Show or hide individual conditions

Select Window > Type & Tables > Conditional Text.

Select the eye icon next to a condition name to show or hide it. The selected condition is shown or hidden.

Show or hide all conditions

Select Window > Type & Tables > Conditional Text.

From the Conditional Text panel menu, select Show All or Hide All. All conditional text in the document is shown or hidden.

Note

Hidden text isn't printed, exported, or included in search, spell check, or indexes. Text with multiple conditions remains visible if at least one condition is shown. Hiding conditions can change page layout and numbering. Automatically adjust pages using the Smart Text Reflow feature.
