Admins have the ability to add a new contract to an existing Admin Console for the purposes of switching from an expiring contract to a new, active contract. It prevents the need to migrate users and assets to a separate Admin Console but requires 
reassigning users and administrator roles to the active product profiles of the newly-added contract.

  To view details of the various contracts and agreements associated with your organization, sign to the Admin Console, and navigate to Account.

Differentiate between contracts

When you add a new contract to your existing Admin Console, multiple contracts will be listed in the Account tab along with each contract's status. Tags indicating status are also displayed on each product associated with an expiring or expired contract. The following depicts changes when switching contract types in the Adobe Admin Console:

Note:

Products associated with an expired ETLA contract are automatically removed from the Admin Console once the contract has become inactive. Learn more about ETLA contract expiration phases.

The Account page shows details for all contracts and agreements that the organization has with Adobe. The status of each contract is indicated in the table.

VIP customers can manage their contracts by navigating to Admin Console > AccountVIP Overview. Learn more about managing your Teams accounts.

The new products appear in the product list along with the indicator for the contract type. A Buy More button shows for VIP contracts.

Overview page

The product cards show all products from various contracts with indicators for the contract type and status. These indicators will only appear if the organization has an ETLA or both an ETLA and VIP contract. You can also filter the products by contract type.

Each product page also shows an indicator for the associated contract type.

Reassign users after switching plans

When you switch your Admin Console organization to another plan, your current storage repositories along with your identity implementation and users are retained. However, your users lose access to the assigned products and the product admins and product profile admins lose their administrative rights.

For a smooth transition and to avoid loss of user access and administrative rights, you must:

  • Export the user list from the Admin Console with switching contracts before making changes. This list provides a reference when reassigning users and administrators under the new contract.
  • Reassign your users and admins to the new contract before the former contract expires.

To download the user list, navigate to Users > Users in the Admin Console. Click  in the upper-right corner of the Users page, and choose Export Users List to CSV. Learn about the CSV file format.

Note:

Administrative roles can only be reassigned using the individual or CSV bulk upload methods.

The following are different ways in which you can reassign users and administrators:

Individually

Use this method if you have a small team with fewer than 10 licenses:

  • To assign users, navigate to Admin Console > Products, and click Assign Users on the relevant product card. Learn more about assigning users.
  • To assign product admins, navigate to Admin Console > Products. Select the required product, go to the Admins tab, and click Add Admin. Learn more about assigning product admins.
  • To assign product profile admins, navigate to Admin Console > Products. Select the required product. Then, select a product profile, go to the Admins tab, and click Add Admin. Learn more about assigning product profile admins.

CSV Bulk upload

Use this method if you have a medium or large team with more than 10 licenses.

Navigate to Admin Console > Users >  > Edit user details by CSV. Then, click Download CSV Template > Current User List. Modify the required field in the CSV file to have the updated products or product profiles associated to the new contract.

User Sync Tool (UST)

To use this method, you must have an understanding of macOS Terminal or Windows Command prompt and LDAPs. If you have the User Sync Tool integrated with your Adobe Admin Console, use it in either of these two ways:

  • Map users from your directory to a product profile in the Admin Console, you can update the configuration mapping groups of users in your directory to specified product profiles in the Admin Console within the UST configuration file. This process requires admin access to the server where the User Sync Tool configuration file is hosted. Learn more about updating the group mapping in the UST configuration file.
  • Map users from your directory to a user group in the Admin Console, you can update the product profile added to the user group that provisions the group's users to the selected profile. This process requires a System Admin or User Group Admin of the required groups to make the update. Learn more about assigning product profiles to user groups.

User Management API (UMAPI)

To use this method, you must have working knowledge of a programming language (such as Python) to consume REST APIs. If you have integrated the User Management API with your Adobe Admin Console, use it in either of these two ways:

  • Mapping users from your directory to a product profile in the Admin Console, you can update the configuration mapping groups of users in your directory to specified product profiles in the Admin Console within the UMAPI. This process requires admin access to the UMAPI configuration file. Learn more about updating the mapping to a product profile in the UMAPI configuration file.
  • Mapping users from your directory to a user group in the Admin Console, you can update the product profile added to the user group that provisions the group's users to the selected profile. This process requires a System Admin or User Group Admin of the required groups to make the update. Learn more about assigning product profiles to user groups.

Azure Sync and Google connector

Use this method if you have integrated Azure Sync or Google Connector with your Adobe Admin Console. You can reassign all users to a new product profile or update the product profile assigned to a user group for the contract’s product configurations:

  • Azure Sync syncs users of chosen directory groups to the Admin Console into a user group. If those user groups have been assigned product profiles, you can update the product profile added to the user group that provisions all users of that group to the selected profile. This process requires a System Admin or User Group Admin of the required groups to make the update. Learn more about assigning product profiles to user groups.
  • Google Connector syncs a list of in-scope users to the Admin Console which are then assigned to product profiles via the Admin Console. You can update the product profiles assigned to existing users synced with Google Connector via either the individual or CSV bulk upload methods. This process requires a System Admin, User Group Admin, Product Admin, or Product Profile Admin depending on how the users are assigned. Learn more about managing products and product profiles.
