Simplified text collaboration for designers

As a designer, you can create or open any cloud document, share it with content editors, and assign specific text frames to each collaborator.

Share a document with collaborators

  1. Create or open any InDesign cloud document.

  2. Select Window > Content Editing.

    You can see all the collaborators added to a document.

  3. Select the Add collaborators button if this is your first time adding collaborators to your document.

    Tip:

    Select the Add Collaborator   icon if you have other collaborators and want to add more.

  4. Add the collaborator’s email ID and select Done. The email ID is now added to the Content Editing panel, and your collaborator receives an email to access the document and edit the assigned stories.

    You can also Copy Link   and share it with your collaborators.

    Tip:

    Select Add instead of Done to add several collaborators one after the other.

Assign text frames for editing

  1. Right-click a text frame and select Content Editing Options > Assign To.

  2. Select an existing collaborator’s name.

    Select Add to share the document with a new collaborator and give edit access to the selected text frame.

    You can see the assigned icon on top of the text frame to indicate that this is shared as a story with a collaborator.

Note:
  • Once a text frame is assigned, it appears as a story in the Content Editing panel under the collaborator’s email.
  • You can’t edit an assigned story in the InDesign app.
  • Select the application menu icon to Go to Story, Remove Story, Delete Collaborator, Stop Collaboration, or Share Feedback.
  • You can’t assign one story to multiple collaborators. If you assign an already assigned story to a new collaborator, InDesign will automatically remove the text frame from the old collaborator’s list.

Effortless text editing on the web for collaborators

As a content editor, you can open the shared cloud document on the web and edit the assigned stories.

Access shared documents on the web

  1. Open the link shared by the document owner in Google Chrome.

  2. Log in with the email ID to which the document is shared.

Edit assigned stories with InCopy on the web

  1. Open the link shared by the document owner in Google Chrome.

  2. Log in with the email ID to which the document is shared.

  3. Select the Assignments   icon to view the list of stories assigned to you.

    You can also select the Pages   icon to view all the pages in the document and a pink border around the pages and stories assigned to you.

  4. Hover over any story and select Edit. The content in the assigned story is now editable in full-screen mode.

  5. Make the necessary changes, and select Done .

    You can use the bold   icon and italics   icon to format the text.

Tip:

Select the Share Feedback icon from the InDesign Content Editing panel or InCopy on the web.

Limitations

Here are some known limitations, and we're actively working to resolve this in future updates:

  • Sometimes, the Assignments   panel may take time to appear. Plese refresh the browser tab to resolve it. If the Assignment   panel does not appear after you refresh the browser tab, clear the browser cache for indesign.adobe.com under site settings and restart the Chrome browser.
  • If you remove a story and assign it again or move from one collaborator to another, the edited text content in the web editor will not render in the canvas and sometimes not propagated to the InDesign app.
  • Whenever InCopy on the web (Beta) collaboration flow is initiated, a Do-Not-Delete folder is created in /cloud-content/. Deleting or making any modifications to this folder will mess up the collaboration data on the document.
  • By default, collaborators added through the InCopy on the web (Beta) feature are assigned view-only access to the InDesign cloud documents. They can edit only their assigned text frame, not the rest of the document. These collaborators also appear in the Invite to Edit workflow, but their access cannot be upgraded to edit the document.
  • Applying bold and italic styles in the text editor may render incorrectly if the corresponding font is unavailable in Adobe Fonts.
  • Certain file formats, such as BMP, SVG, GIF, PDF, JPG with special effects, and MP4 assets, may not render properly in Chrome.
  • Only supported on Google Chrome.
