Adobe Stock for enterprise

As a System Administrator, use the Adobe Admin Console to manage your organization's Adobe Stock entitlement. You can:

• View your Adobe Stock product details: quota available to your enterprise, quota assigned to product profiles, and quota consumed by your users.
• Assign a product administrator role for Adobe Stock.
• Create and edit product profiles for Adobe Stock: set a profile name (visible only to administrators), a team or stock project name (visible to end users on the Adobe Stock website), download limits in credits, permissions, users, and profile administrators.
• Monitor the consumption of Adobe Stock assets and download reports in CSV format from a dedicated interface on Adobe Stock.

How Adobe Stock licensing works

The Adobe Stock for enterprise offering includes sharing rights across the organization by default. Once one user licenses an asset, other users in your organization can identify, download, and use it without licensing it again. The right to use a licensed asset is perpetual, as long as your organization stays within the licensing terms. Administrators can use the Permissions tab to prevent an asset from being licensed more than once. If an asset is used by multiple clients outside your organization, a separate license is needed for each client.

There are three possible configurations for users in your organization:

Assets already licensed by your organization show a Licensed badge in Adobe Stock search results and in Creative Cloud apps.

All users of a product profile for Adobe Stock share the credits quota assigned to this product profile. They can license Adobe Stock assets from this pooled quota.

All users in an Adobe Stock product profile share the credit quota assigned to that profile and license assets from this pooled quota. For example, a profile with two users, A and B, and 100 total credits:

• If no credits are used yet, user A can use up to 100 credits, and user B can use up to 100 credits.
• If user A has used 45 credits, user B can use up to 55 credits.

Users must select their entitlement view on the Adobe Stock website when they:

• Sign in to Adobe Stock for the first time.
• Also have a personal or team entitlement to Adobe Stock.
• Belong to multiple Adobe Stock product profiles, within the same organization or across organizations.

How Adobe Stock credits work

If your organization purchased an Adobe Stock for enterprise plan, users license assets with credits. The number of credits needed varies by asset type.

If your organization purchased a Pro Edition plan, users have unlimited access to Adobe Stock standard assets without credits. Credits are still required for all other asset types, including premium images, video, and audio.

Credits are valid from the date of purchase until they expire or renew at the contract anniversary date, regardless of when they were assigned to a product profile. Once an asset is licensed, the right to use it is perpetual.

Unused and unassigned credits expire at the contract anniversary date and do not roll over. Product profile settings, including download limits and options, remain valid for as long as the service is active.

Set up a product profile for Adobe Stock

You can create and edit product profiles for Adobe Stock the same way as any other product profile. Then, configure the following fields and settings:

• Display name: The name displayed to users on the Adobe Stock website when selecting a profile for licensing. By default, it matches the product profile name.
• Quota: On the Quota screen, enter the download limit in credits. Users of the profile share this pooled quota and cannot exceed it.
• Permissions: On the Permissions tab, select Edit to configure the following, then select Save:
  • Asset types: the asset types users can access with their credits (such as video, premium assets, and templates). Available types depend on your offer.
  • Mandatory references: references users must complete when licensing an asset (such as customer name, project name, licensee, or cost center). These appear in the license history and usage reports.
  • Optional references: references users can add to improve asset tracking.
  • License again: whether a user can license the same asset more than once.

To reuse settings, select Copy Permissions to copy permissions from an existing profile to a new one. To update a profile's users, administrators, or permissions later, go to Products > Adobe Stock, select the profile, and use the Users, Admins, and Permissions tabs. Update a product profile's download limit

When a profile reaches its download limit, administrators are notified by email (the system administrator if there is no product administrator for Adobe Stock). To let users download more assets, edit the profile, and increase the download limit.

If an administrator lowers a profile's download limit below its current consumption, users cannot download additional assets. Previous consumption is still recorded, based on actual downloads.

Cancel Adobe Stock entitlements

To delete an Adobe Stock product profile, select the checkbox next to the profile's name and select Delete Profile. After a profile is deleted or after users are removed from a profile, those users can no longer license assets. Past consumption is still recorded in the Adobe Stock usage dashboard.

End user experience

Previews

When the unwatermarked HD preview option is enabled on the Permissions tab, users who download previews of any asset type from the Adobe Stock website or from Creative Cloud apps receive the high-resolution file without a watermark. These previews are marked unlicensed until the user licenses the asset.

License references

When mandatory or optional references are enabled on the Permissions tab, users who license an Adobe Stock asset must fill out a form with those references. Users cannot license the asset until all mandatory references are complete.

Download limit reached

When a profile reaches its download limit, its users see a message. An administrator can increase the profile's download limit from the Admin Console.

Asset types

If a profile's settings don't allow users to license certain asset types, users see a message when they try to license those types.

Monitoring Adobe Stock consumption

Administrators can monitor credit consumption from the Admin Console and from a dedicated interface on the Adobe Stock website. Open it from the Go to Stock Usage Dashboard link on the Adobe Stock card in the Admin Console Products tab, or from the License History section on the Adobe Stock website.

If an administrator manages multiple organizations, they can choose which one to monitor from a list in the Adobe Stock usage dashboard.

All assets licensed by any member of the organization appear in the License History for every member, but the details and filtering depend on the member's role:

• System administrators see all details for each licensed asset.
• Product administrators for Adobe Stock also see all details for each licensed asset.
• Adobe Stock profile administrators see details only for the profiles they administer, and can filter only by those profiles and users.
• End users see details only for the assets they licensed directly, and can filter only on those.

The mandatory and optional references enabled on the Permissions tab serve as filters, and the values users entered during licensing appear in the table. To correct a value, select the edit icon, and the form appears for editing.

Administrators can filter the license history by user or group, project or customer, or purchase order, then export the results to a CSV file using the download icon. The file is generated and sent by email.

The Adobe Stock usage dashboard also includes two more sections:

• Users: the number of assets downloaded by each user.
• Groups: the number of assets downloaded through each product profile.

Save Adobe Stock content to Creative Cloud Libraries

Users entitled to Creative Cloud for enterprise with services can save Adobe Stock asset previews and licensed assets to their desktop or libraries using the integration workflow. Users who don't have storage access or are at capacity can save previews and licensed files only to their desktop.

Migrate from Creative Cloud for teams to Creative Cloud for enterprise

When you migrate from an Adobe Stock for teams plan to Adobe Stock for enterprise, make a backup copy of each licensed asset so they are not lost when the team plan is discontinued.
